Operations Manager

Our client, a growing yet personal family dental practice located in Bracknell is seeking an operations-focused Practice Manager to join their team for this exciting, on-site role.

The ideal candidate should have previous experience within an operations role, focusing on KPIs, SOPs, safety, and general management of at least 4 other team members. Previous experience with inventory, stocking, and ordering would be an advantage along with training in Health & Safety, previous experience with financials and accounts, budgeting and forecasting and previous experience in the hospitality, food & beverage, or retail industry or medical, dental or optical field would be highly desirable.

The practice has 3 dentists, 3 dental nurses, 2 dental assistants, a hygienist, and 2 receptionists currently, and is expanding every year – the team is small and close-knit and many members of staff have been with the practice for a long time.

The main focus of the role is to ensure the day-to-day running of the practice, from assisting with the hiring of new team members to ensuring that orders are placed for medical equipment, a large part of the role will involve managing the team, including one-to-ones, performance reviews and managing time off and absence. You’ll also work closely with the owner to manage the company’s financials, ensuring payments come in, paying supplier invoices, and providing monthly financial reports to the owner, in addition – assisting with budgeting, forecasting, and staff training. This is a varied role with huge job satisfaction.

 

Operations Manager Jobs Essential Skills & Experience

  • Minimum of 3 years previous experience in an operational role.
  • Minimum of 1 year of leadership experience overseeing a team of 4 or more.
  • Demonstrated financial acumen, able to oversee day-to-day finances, run reports, run payroll, and complete budget analysis.
  • Able to develop and implement policies, standard operating procedures, and safe working procedures.
  • Previous experience being involved in hiring processes is desirable.
  • Previous experience in the dental, medical, or optical industry is highly desirable.
  • Computer literate with advanced skills in Excel and Outlook, able to grasp new software quickly
  • Previous experience working with medical scheduling or electronic medical records systems is a plus.
  • Strong communication skills, both written and verbal.
  • A servant leader, who demonstrates the right way to do things and sets a good example for staff members.
  • Knowledge of employment guidelines and basic HR would be an advantage.

 

Operations Manager Jobs Duties & Role

  • Working with the dental team you will review current processes and procedures and implement new ones or amend existing ones where needed, including standard operating procedures, safe working procedures, and company policy.
  • Oversee the reception and dental nursing team, ensuring all time off and absence is recorded and completing regular one-on-ones and performance reviews.
  • Assist the owner with the hiring of new team members, take part in the interview and selection process, and discuss potential candidates with the team.
  • Manage the day-to-day finances of the practice, ensuring incoming payments are allocated, supplier invoices are paid on time, payroll is run promptly and monthly finance reports are run and presented to the owner.
  • Assist the owner with financial planning and forecasting for each quarter, along with budget monitoring and project management on special projects such as moves or expansion.
  • Provide a calm, polite, and friendly atmosphere for patients coming into the practice and keep a harmonious team.
  • Manage the inventory for the practice, ensuring new stock is ordered on time and replenished, manage relationships with suppliers, and monitor price increases.
  • Liaise with and onboard new suppliers or contractors where needed.
  • Oversee the owner’s schedule, manage the company calendar/diary, and ensure that the practice has adequate staff coverage at all times.
